Revenue / Rates
Generating revenue is done by taking the hours entered on a time sheet and multiplying them by the rate associated with that time entry to get a total dollar amount. Add all of those up (see reporting) to calculate your revenue. This section covers how to set up a rate card, apply rates to that card, and apply a rate card to a piece of work.
Rate Cards
A Rate Card is a parent record that houses individual rates.
Creating a Rate Card
- Click "Rate Card" on the left navigation.
- Click "New."
- Fill out the Name and Base Rate.
- Click "Create."
Name: The name of the rate card.
Base Rate: If there is no matching title at the rate level for a user, the base rate on the rate card will be used. If there is no base rate on the rate card, the base rate on the title will be used.
Adding a Rate Card to a Piece of Work
Once you have a rate card set up, you can apply it to a piece of work (Client, Project, Task).
- Navigate to a piece of work and open it in the form view.
- Find the rate card field on the form.
- Select the Rate Card you want to use for the work.
- Hit “Save.”
How ScopeJolt Applies Rates to Hours
When you create a new piece of work anywhere on the work hierarchy (Client, Project, Task), you can select a Rate Card. There is a field on each of the Client, Project, and Task records for Rate Card. The system will use the Rate Card associated with the lowest level work. Once the rate card is determined, the system will look at the user's title and try to find a matching rate for that title on the rate card. If there is no rate for that title on the rate card, the system will use the base rate of the rate card. If no rate cards are associated with any piece of work on the hierarchy, the base rate for the title will be used as the rate. If that is blank, the rate will be $0.
The rate will also default to $0 for non-working time, such as Vacation, Holiday, Sick leave, etc.
Example of How a Rate is Applied
In the scenario below, the lowest level on the work hierarchy that has a rate card is Project A. Any time entered against a task associated with Project A will pick up Rate Card B, and any rates associated with it will be applied.

How Rates Work with Time Entry
When you create a time entry, the system applies the current rate logic and sets a static rate. This means that if the rate card changes or a rate changes on a rate card, it does not affect existing time entries.
What Happens if the Rate Changes?
When a rate changes, existing time entries will not be updated. However, any new or updated time associated with that rate will be at the updated rate.
Example
If you place 8 hours on Project 1, and the next day the rate for Project 1 is changed, changing that 8 hours to 6 hours will result in all 6 hours being billed at the new rate.
